The following is a list of the FAQs from UON students. More FAQs can be found on the EndNote Support site.

A: If this occurs, Word is displaying the field codes in your document. The field codes are usually hidden or "underneath" your references from EndNote and sometimes they begin to display within your document. Press ALT+F9 (Option+F9 on Mac) on your keyboard to toggle field codes.

A: This is only an option for author-date styles (eg. APA, Harvard)
In Word:
- Click on Edit and Manage Citation(s) from the EndNote toolbar.
- From the Formatting drop-down menu, choose Show Only in Bibliography (or Exclude Author & Year).
- The citation will still be in the document, but it is no longer visible (you may need to remove the extra space).
- The reference will now only appear in your bibliography.
With numbered-style referencing this will not work, as by their nature, these styles require the references in the bibliography to be numbered and would look odd with gaps in the in-text numbering.
A: EndNote is correctly conforming to the APA 6th or 7th manual to use initials in the in-text reference if there is more than one author with the same last name in your document.
However, if you still want to remove the author's initials, there are some solutions which should help.
A: To combine several Word documents into a single document with a single bibliography at the end (e.g. thesis or book)
- Create a copy of each chapter you wish to combine. Work with the copied chapters, leaving the originals as back-up.
- Open each of the copied chapters and from the EndNote tab, select Convert Citations and Bibliography - Convert to Unformatted Citations. All in-text references will be converted to the unformatted state - for example {Smith 2009 #290}.
- Copy each of the chapters in turn into a new document.
- Reformat the document with the combined chapters by selecting Update Citations and Bibliography.
Remember to only use one EndNote library for all of your chapters, or you will have issues when you try to combine them later.
A: There are a few ways you can create a standalone bibliography quickly, e.g.
Method 1:
- Open your EndNote Library
- Select the references you want included in the bibliography
- Select the reference style that you want to use for the bibliography, such as APA 7th-Annotated
- Go to References, click on Copy Formatted Reference from the list
- Open MS Word, right click then choose Keep Source Formatting
Method 2:
- Open your EndNote Library
- Select the references you want included in the bibliography
- Select File - Export. The Export file name dialogue box will open
- Select the folder you want, name the file and select Rich Text Format (*.rtf) from the list
- Select the required Output Style e.g. APA 7th
- Check Export Selected References, then click Save
A: You can create your bibliography categories and assign the relevant references to them. EndNote will create the bibliography with the references under each of the categories.
- Open your Word document
- Click the EndNote tab
- Click Categorize References and then Configure Categories
- Click the + next to Category Headings to add your categories e.g. Books, Journals, etc.
- Ensure the categories are listed in the order as they will display in your bibliography
- Click All References in Bibliography
- Select the references, and drag and drop them into the relevant categories
- Check the Uncategorized References folder to ensure all references are assigned to a category
- Click the OK button
- Your bibliography will be formatted under your categories
- You can edit your categories such as delete or rename a category, re-order the categories, or move references (using drag and drop) from one category to another.
A: You can create an annotated bibliography in APA 7th style using the APA 7th-Annotated style within EndNote.
- Open your EndNote Library
- Make sure you have saved your annotations in the Research Notes field for each citation
- From the Styles drop down menu, select APA 7th-Annotated. (If it is not listed, click Select Another Style to open the EndNote Styles window. Double click the APA 7th-Annotated, it should be now the default on the Styles drop down menu)
- Select the references you want to include in your annotated bibliography (press Ctrl + A to select all references or Ctrl + click to select the individual ones)
- From the Edit menu, select Copy Formatted
- Click All References in Bibliography
- Open Word, right click, and select Keep Source Formatting to paste
- The annotated bibliography will be created for you in the style of APA 7th.
A: Kopernio (now EndNote Click) is a free browser plugin available for Chrome, Firefox, Edge and Opera. A literature discovery tool enables you to:
- Search Web of Science, PubMed, Google Scholar and other academic web resources
- One click access to PDF full text via library subscriptions, publishers or OA sites
- Download or save PDFs online in your personal Kopernio locker
- One click export citation with pdf to EndNote, Zotero or Mendeley
You need to add the plugin to your browser and create an account to use Kopernio.
Kopernio integrates with EndNote and allows you to automatically export your references and full text PDFs straight from your Kopernio viewer into EndNote.
To set up EndNote Click:
- Within EndNote 20 (or 21), Go to Tools > Install EndNote Click Browser Extension
- Follow screen prompts to create an account and add the plugin
To export to EndNote:
- Click the purple View PDF button on your search results, then
- Click the Export reference / to EndNote link

A: To add an EndNote reference in a footnote in Word, you need the following two steps:
- Add a footnote using the Word References feature:
- In the text, put the cursor where you want to insert a footnote
- From the top menu bar, click References | Insert Footnote
- You cursor will now appear in a footnote at the bottom of the page
- Insert a citation from your EndNote library
- While you cursor at the footnote position, click the EndNote tab
- Ensure the correct style is selected, eg Chicago A, or AGLC4
- Click Insert Citation
- Find and select the citation needed and then click Insert
- The footnote citation will be inserted and the bibliography updated
A: Vancouver style is a numbered style. It uses citation numbers within the text to refer to the corresponding numbered entries in the reference list. The in-text citation number can appear in either round brackets eg (2), or superscripted eg 2.
The default EndNote Vancouver style uses the round brackets. You can change it to superscripted.
- Open EndNote 20, go to menu bar Tools | Output Styles | Open Style Manager …
- In the EndNote Styles pop-up box, highlight the Vancouver style, then click Edit
- In the Vancouver style editing window
- From the left column click Templates under Citations
- From the right column, highlight the (Bibliography·Number) then click A1 from the tool bar above.
- You may delete the round brackets around the Bibliography Number if you wish.
- Go to menu bar File > Save As to save the modified style as eg Vancouver Super.
The style Vancouver Super will format the in-text citations in superscripts now.
A: If you accidentally delete your EndNote library (the .enl file) but still have the associated .Data folder, you may recover your deleted library from the Data folder by using Notepad:
- Open Notepad from your PC
- Save an empty file under the same name of the deleted EndNote Library (.enl) in the same location as the .Data folder.
- Note: the two files (the .enl file and the .Data folder) must be under the same name and in the same folder.
- Open the EndNote library and you should see the library recovered
A: That is a built-in feature of Microsoft Edge. It is advising the download site is not a common download location for application installation files and is advising the user to ensure they trust the file is from a trusted source.
You can hover your mouse over the text, click on the ellipsis and then click Report this file as safe.
Alternatively, you could use a different browser to download the installer such as Mozilla Firefox
Depending on your computer’s security/gatekeeper settings, users may get similar error messages when you are using other browsers. If so, try to click on the links from the pop up box, or right click on the downloaded file and choose to trust the file and run the installer.
A: Unfortunately EndNote is not designed for compatibility with cloud service such as OneDrive, SharePoint, Dropbox, Box Sync, Google Drive or iCloud.
You may save a backup copy or a compressed copy of your EndNote Library in the cloud storage, but do not open or use the Library directly from the cloud.
If you ever need to use the backup copy of your EndNote library, download the copy of the files to your computer’s local hard drive, and then work from there.
A: Depending on your situation, you may consider the following solutions:
- If you have a recent back up copy of your library, you may use the backup copy.
- If you have synced your library with EndNote Online recently and the online library is still intact, you may create a new local blank library and synchronize from the online library
- If the two methods above are not applicable to you, you may use the Recover Library command to repair the damaged file. This command will recover references from your damaged library and save them into a new library named after the damaged library with a suffix '-saved' by default.
- To repair a damaged EndNote library
- Close the damaged library if it is currently open
- From the Tools menu, select Recover Library. Read the information about the Recover Library command, and click OK
- As prompted, select the damaged library and choose the name and location where you want to save it, then click Open
- Open and check the new library for any issues, and use the new library in the place of the original damaged library from now on.
A: If your in text citations are displaying in {curly brackets} and your reference list has disappeared, it means that Word has stopped formatting the EndNote codes in your document.
- Open the EndNote 20 tab in Microsoft Word.
- Make sure that the Instant formatting is on.
- Click on Update Citations and Bibliography.
Your in text citations should now be formatted correctly in your chosen referencing style.
You may get error messages when you try to use EndNote with Track Changes visible.
To turn off the visibility of the Track Changes:
- Click the Review tab in Word
- Select No Markup option from the drop-down menu right to the Track Changes
EndNote should now be working again without the error messages.
