Getting the most from Copilot for work

Zoom AI Companion

The Zoom AI Companion leverages artificial intelligence to simplify tasks such as meeting summaries, cloud recording organisation, and real-time collaboration on visual projects. By integrating this genAI tool into your workflows, you can save time by eliminating manual note-taking, improving focus during meetings with key details automatically captured, and enhancing collaboration with tools for brainstorming and project management.

Considerations for Zoom AI Companion 

The meeting host holds key responsibilities for Zoom AI Companion meetings. Here are some guidelines: 

  • Privacy and Security: You must be cautious of privacy and ethical considerations when using AI features. Do not enable AI Companion features in meetings where sensitive or confidential information is discussed. Always ensure the AI-generated content is accurate and does not include private or sensitive information that should not be shared.
     
  • Enabling AI Companion Features: The host can choose to enable or disable AI Companion features such as meeting summaries or in-meeting queries. These should be activated thoughtfully, especially in sensitive or confidential meetings. 
     
  •  Reviewing Summaries: A post-meeting summary will be generated by the AI Companion and sent to the host for review. It is essential to carefully check the accuracy of key points, action items, and decisions before sharing the summary with participants.

What is a Staff Virtual Assistant?

The virtual assistant, accessible via Microsoft Teams, is designed to provide staff with a natural and easy Q&A experience.

What is the scope of Staff Virtual Assistant?

The Staff Virtual Assistant has been upgraded to cover all university policies from the Policy Library rather than simply the HR-related information that was previously available. This means the Assistant now provides information on academic policies, IT guidelines, and campus safety protocols. The goal is to streamline access to important information and simplify work life for staff.

ServiceNow AI Search and Summarisation

ServiceNow has new AI features now available for all staff on the ServiceNow Employee Portal

The new AI Search functionality means you can now use natural language and questions to easily self-serve your questions within ServiceNow, and creating a more personalised experience. Learn more from DTS: ServiceNow AI Search is here!

For staff with ServiceNow Fulfiller roles, the 'Now Assist' summarisation feature can quickly generate a summary of a case, interaction, or incident, helping you get up to speed without digging through extensive notes. DTS Initiatives and Training

DTS provides a number of support services in the genAI space. Their vision is to harness the transformative power of genAI to enhance operational efficiency, personalise educational experiences, and drive innovation across the University. By integrating AI-driven solutions into our core processes, DTS aims to create a brighter, more responsive University environment that empowers our students and staff to achieve their fullest potential.

GenAI 'First Draft'

The 'First Draft' process is about quickly creating prototypes to ensure they meet the University's needs and governance standards - including whether they are feasible. Instead of fully developed products, this genAI initiative is starting with simpler versions from which to learn.

GenAI ideas may come from the demand within the University, the Vice-Chancellor's GenAI Task Force, or the TLC AI Working Group to test their feasibility.
